Office Manager
Position Summary:
The Office Manager is
responsible for running the office, setting up administrative systems for
all non-project work, and ensuring that staff have the physical
environment, equipment, and materials they need to thrive. Because we work
with teen women, who serve on staff and are frequent visitors to the
office, it is important that candidates value this constituency and are
able to interact with them in a nurturing way. The position is 20 hours a
week and reports to the executive director.
Salary:
$12,000-$16,000 with
benefits (including medical-dental-vision, vacation, flextime) for
approximately 20 hours of work
Responsibilities:
Daily operating needs: Oversee
daily agency operating needs such as answering phones, manage office
technology, maintain supplies, open and distribute mail, liaise with
landlord, oversee office upkeep; ensure office is at all time
aesthetically appealing, organized and professional; create and maintain
filing systems for the entire organization; perform other administrative
tasks as needed within the organization
Personnel:
Coordinate hiring and recruitment resources; orient new staff members;
maintain personnel files; Process W-4, I-9, and other employment forms;
ensure that health insurance benefits are brokered and administered
properly for all staff; ensuring payroll is processed bi-weekly; track
staff vacation, personal and sick day benefits
Staff support:
Manage databases for two projects; generate reports; train new staff
members; enter data; provide assistance to the Executive Director and
Board work and other organizational development projects
Accounting: Ensure
timely processing of all accounts payable items (bills), including rent,
payroll services, corporate credit card, telephones, insurance, state
program costs, and staff reimbursements; assist ED with other accounting
functions as needed
Qualifications:

Minimum
of three years of office work experience

Strong
computer skills with pertinent Microsoft Office computer applications,
especially Excel

Strong
written and verbal skills and attention to details

Excellent
organizational skills with the ability to prioritize tasks and work
under deadlines

Ability
to act independently to analyze problems and identify solutions and
manage multiple priorities

Knowledge
of fiscal management principles and procedures preferred

Proficiency
with nonprofit financial management and QuickBooks or other equivalent
financial management software

Commitment
to progressive social change

Knowledge
of standard office software, including Microsoft Word, Excel and
Outlook

Demonstrated
commitment to social justice, youth empowerment, and anti-oppression
work
